Job Description

Our client, a national law firm, is seeking a talented Legal Assistant in Miami, FL

Salary: $90k-$100k

Schedule: Hybrid 3/2

Hours: 9:00am-5:00pm

Experience: Minimum 2-4 years of Trusts and Estates

Responsibilities:

  • Provide independent administrative support
  • Manage client communication, including answering emails and phone calls to effectively schedule appointments while coordinating with internal timekeepers to ensure efficient booking and calendar management
  • Coordinate document execution meetings and act as a witness or notary
  • Type, edit, format, and proofread documents and assist with document preparation for electronic filing
  • Manage administrative aspects of client/matter intake: enter required information into the NBI system, draft, finalize, and send engagement letters to clients, communicate client billing standards, and overall management of client files.
  • Collaborate with other legal assistants and timekeepers when required to complete assignments and meet deadlines

Qualifications/Requirements:

  • Minimum of two to four years of Trust and Estates legal secretarial experience strongly preferred
  • Experience in handling administrative tasks and making travel arrangements
  • Capable of supporting multiple timekeepers in a fast-paced environment
  • Excellent communication, writing, organizational, analytical, and interpersonal skills
  • Ability to produce accurate draft documents
  • Familiarity with court and regulatory procedures
  • Proficient in the use of Microsoft Office (Word, Outlook, Excel and PowerPoint), InterAction, FileSite, InTapp, CMS, PDF scanning, HotDocs, Kofax PDF, Change-Pro, Metadact, Innova, Chrome River, Preview Biller, Internet searches, Rendezvous, Electronic Court Filing Systems, and ability to learn and use advanced software applications
  • Willing to gain familiarity with the firm's information resources
  • Notary Public in state of residence
